AI Lead Follow-Up Calls: Reach Every New Lead While It Is Still Warm

Your UIRIX AI agent calls the leads on your list, asks your qualifying questions, and then books a meeting in your calendar, sends a link by text message or WhatsApp, or puts a hot lead through to your team while they are still on the line. Every call is recorded, transcribed and summarized, so you see who is ready to talk.

AI lead follow-up calls are phone calls an AI agent makes to your new leads for you: it calls each lead, asks the questions that tell you whether they are a fit, and books the next step. With UIRIX, leads come from a file, a HubSpot list, your website form or your own systems, and a lead added to the list of a running campaign joins it at once and is called in turn, inside your calling hours. On the call, the agent can book a meeting in Google Calendar or Microsoft 365, send your proposal, pricing or free-trial link, schedule a callback, or put a hot lead through to a person on your team. It speaks 17 languages, every call is recorded, transcribed and summarized, and the results reach your dashboard, your own systems by signed webhook and your CRM through Zapier.

What the agent does on a lead follow-up call

  • Opens with the line you approve: who it is, that it is an AI assistant calling for your business, and the request the lead made.
  • Asks your qualifying questions one at a time, such as budget, timing, needs and who decides, and listens for the problem the lead wants solved.
  • Explains how your product or service answers that problem, from your website and documents, and handles questions and objections the way your script says.
  • Books the next step: a demo or a consultation in your Google Calendar or Microsoft 365 calendar, after checking that the time is free, or a link to your own scheduling page so the lead picks the time.
  • Sends what the lead asks for by text message or WhatsApp: your proposal or quote, your pricing page, a free-trial sign-up, product information, a coupon code or customer reviews. It can also send an e-mail, after spelling the address back.
  • Puts a hot lead through to a person on your team, live, once the lead agrees, and gives that person a one-sentence briefing before the call is connected.
  • Books a callback when the lead is busy, and the campaign calls again later, inside your calling hours.
  • Thanks the lead and says goodbye before it ends the call, also when the answer is "not interested".

Speed to lead: call new leads as they come in

The list behind a campaign stays live while the campaign runs. Each list in the UIRIX dashboard has its own key, so your website form, or any system that can send a web request, adds each new lead to it as it arrives; the Public API adds leads in batches. A lead added to the list of a running campaign joins the queue at once and is called in turn, at the pace you set.

A lead that arrives inside your calling hours, with nobody waiting ahead of it, can be called within minutes. A lead that arrives later waits for the next calling window, in the lead's own time zone where it is known.

One caution: a campaign that already finished starts running again when a new lead joins its list. Keep a separate list for each campaign, and pause a campaign you do not want to call new leads.

An example call

An example of a call you can set up. You choose the goal, the questions and what the agent may do, and you can hear it on your own phone before your leads do.

  • Agent: "Hi, is this Dana? This is Ava, an AI assistant calling for [your business] about the request you sent through our website. Is now a good time?"
  • Dana: "Sure, I have a few minutes."
  • Agent: "Thanks. To point you to the right plan, how many locations would this be for, and when are you hoping to start?"
  • Dana: "Two locations, ideally next month."
  • Agent: "That fits our standard setup. Would you like to see it with one of our specialists? I have Tuesday at 10 or Wednesday at 2."
  • Dana: "Wednesday at 2."
  • Agent: "You're booked for Wednesday at 2. Would you like me to text you the pricing page so you can look before the meeting?"

What you get after each call

Every call of the campaign leaves the same record, whether the lead booked, asked for a callback or said no:

  • The recording (unless you switch recording off), the full transcript and a summary of every call, with its outcome: reached, no answer, busy, voicemail or failed.
  • The agent's own rating of each call, from 1 to 5, and the campaign's progress and cost so far.
  • An Excel export of the campaign's calls, with a column for each answer the agent recorded.
  • Signed webhooks to your own systems when a conversation ends, when its summary is ready and when the agent books a meeting or transfers a call. A Zapier step can pass them on to your CRM, a spreadsheet or a team chat.
  • Every contact's result through the Public API, with your own reference for that contact when you gave one.
  • The meetings the agent booked, in your calendar, and the leads it put through to your team.
  • HubSpot lists are imported into UIRIX; to write results back to HubSpot, use the webhooks or a Zapier step.

Compliance and honest limits

  • Your own do-not-call list is checked at the moment of every dial, on by default. UIRIX does not check national or state do-not-call registries for you: scrub your lists against the ones that apply, or upload your own block lists in Profile > Privacy so every call is checked against them too.
  • Calls go out only on the days and in the hours you set, in each person's local time where their time zone is known. Time zones are inferred from the phone number and can be wrong, so add a time zone to a contact when you know it.
  • The phone line can announce, before your agent speaks, that the call is with an AI assistant and is recorded, following the rules of the country you call or on every call. It is on by default for accounts opened on or after October 12, 2026, and you can also say it in your opening line.
  • People can opt out during the call by saying so or by pressing 9; their number goes on your do-not-call list at once. Switch each option on in Profile > Privacy. These tools can miss a request, so honor every opt-out you receive.
  • Record each contact's consent when you import the list: its type, date, source and where the proof is. In Profile > Privacy you can have a marketing campaign blocked, or its contacts without a recorded consent skipped.
  • You are responsible for the laws of every place you call: in the US the TCPA, the Telemarketing Sales Rule and state rules (some states end calling at 8 p.m.), in Israel Section 30A of the Communications Law, and the consent each of them requires. AI voices count as artificial voices, and a voicemail your agent leaves is a call.
  • Campaigns do not get through phone menus: a call that reaches an automated menu ends.
  • Campaigns need a paid plan and an agent with its own phone number: a free trial account cannot run them.
  • Sales campaigns count as marketing. In the US, AI-voice sales calls need the prior express written consent of the person you call, which a bought lead list rarely carries: call the people who asked to hear from you.
  • It books new meetings in your calendar; it does not move or cancel meetings that are already there.
  • It does not add leads or deals to your CRM by itself: results reach it through webhooks, Zapier or the Public API.
  • You set how persistent the agent is in the call profile, and a lead who needs time to think can get a callback instead.

How a lead follow-up campaign works

  1. 1

Set up the agent and its number

Create your UIRIX agent from your website, so it knows your business, and give it a phone number in the dashboard. Getting a number requires a saved payment card. Numbers come from 27 countries. In the US, Canada, Israel and Puerto Rico a number is ready at once; in 23 more, such as the UK, Germany, France, Australia, Japan, Brazil and Mexico, the telephony provider first reviews your details and documents, usually in 1 to 3 business days. In the US, you can register your business for trusted caller ID in the dashboard, free, in about 10 minutes: your calls are then signed in your business's name, which helps reduce "Spam Likely" labels. The review takes 3 to 7 business days, and the carriers decide the final label.

  2. 2

    Write the call profile

Choose the goal (qualify, book a demo, send a proposal), your questions, what the agent may do on the call, the opening line and the voicemail message with your callback number. UIRIX can write the call script for you from these choices, and you set how formal, warm and persistent it is.

  3. 3

    Add your leads

Upload a CSV file, import a HubSpot list, or connect your website form or your own system to the list. Each lead can carry facts, such as what they asked for, and the agent uses them on the call.

  4. 4

    Set the calling rules

Pick the days, the calling hours in each lead's local time, the pace, and how many times to try a lead who does not answer, up to 3 attempts. The calendar booking needs your Google or Microsoft 365 calendar connected to the agent.

  5. 5

    Test it, then start

Place a test call to your own phone and listen (a test call is a real, billed call), fix the script, then start the campaign. Pause it at any time; the leads waiting to be called stay in the queue.

AI lead follow-up calls: common questions

Yes. A UIRIX AI agent calls the leads on your list from its own phone number, asks your qualifying questions, and books a meeting, sends a link or puts a hot lead through to your team. It speaks 17 languages, with 52 voices to choose from, and every call is recorded, transcribed and summarized.
Your website form or your own system adds each new lead to the list of a running campaign, with the list's key from the dashboard or through the Public API, and the lead joins the queue at once. Inside your calling hours, with nobody waiting ahead of it, it can be called within minutes; outside them, it is called when the next calling window opens. There is no guaranteed delay.
Yes, in Google Calendar or Microsoft 365. Connect the calendar to the agent in the dashboard, and the agent checks that a time is free before it books it during the call. It books new meetings; it does not move or cancel existing ones. It can also text a link to your own scheduling page so the lead picks the time.
Yes. Give the call profile the number of a person or a team, and the agent puts the lead through, live, once the lead agrees. Before the call is connected, the person who answers hears a one-sentence briefing on who is on the line and what they want. It never transfers a voicemail or a phone menu.
Not by itself. UIRIX imports contacts and lists from HubSpot, and the results of each call reach your systems through signed webhooks (a conversation ended, its summary is ready, a meeting was booked, a call was transferred), through a Zapier step, or through the Public API, which returns each contact's result with your own reference for it.
The campaign tries again later, inside your calling hours, up to 3 attempts in all. When a call reaches voicemail, the agent leaves a short message: the voicemail line of your call profile, or a short default message that names your business. Write your own line with your callback number.
It depends on where you call and on the consent you hold, and this is not legal advice. In the US, AI voices count as artificial voices under the TCPA, so sales calls need the prior express written consent of the person you call, and state rules limit calling hours. UIRIX checks your do-not-call list at every dial, calls only in your hours, can announce the AI and the recording and lets people opt out, but you are responsible for the laws of every place you call.
