AI Medical Receptionist for Clinics and Private Practices
UIRIX answers your practice's phone day and night. It books appointments in your calendar, answers questions about your hours, services and accepted insurance from your own information, and passes anything clinical to your staff.
Updated
An AI medical receptionist is an AI voice agent that answers a medical practice's phone the way a front desk coordinator would. The UIRIX AI medical receptionist picks up every call, 24 hours a day, in 17 languages. It books appointments in Google Calendar, Microsoft 365, Calendly or Cal.com on the days and hours you set, answers routine questions from your website and documents, and takes messages. When a patient needs a person, it transfers the call or sends the message to your team. It does front desk work only: it gives no medical advice, and calls about symptoms, results or prescriptions go to your staff.
What it handles, and what stays with your staff
The receptionist takes the administrative calls: booking, routine questions, directions, insurance plans you accept, and messages for the team. Clinical questions stay with your clinicians. You decide how they are handled, and every call is in your dashboard for review.
- Handles: new and existing patient appointments, opening hours and holiday closures, location, parking and accessibility, services and the insurance you accept, forms and what to bring, messages for a doctor or department.
- Passes to your staff: symptoms, diagnoses, test results, prescriptions and refills, billing disputes, and any caller who asks for a person.
- Emergencies: UIRIX is not an emergency service and never calls or transfers to an emergency number. Its instructions tell a caller with an emergency to hang up and dial their local emergency number.
Patient data and HIPAA
UIRIX does not sign Business Associate Agreements (BAAs) today. If your practice is a HIPAA covered entity and plans to handle protected health information through UIRIX, write to [email protected] about your requirements before you deploy.
What UIRIX provides: encrypted connections, two-factor sign-in, recording you can switch off, the retention periods you choose for conversations, recordings and summaries, and payment card numbers masked in stored chat text. Practices outside the United States should check their own national rules in the same way.
Read the Privacy Policy →How to set it up
- Create the receptionist from your practice's website address. It learns your services, hours and policies, and you add documents such as your insurance list.
- Connect Google Calendar, Microsoft 365, Calendly or Cal.com and set your booking rules: days, hours, visit length and the gap between visits.
- Write the rules for clinical calls and add the number or the people to transfer to.
- Get a local number in the dashboard, or forward your existing practice number when you are busy or closed.
- Call it yourself, book a test appointment and read the summary before patients reach it.
What your AI medical receptionist does
The calls that keep your front desk on the phone, handled the same way every time.
Answers every call
After hours, at lunch and when every line is busy. Forward the calls your staff miss, or all calls after closing, to the receptionist's number.
Learn more →Books appointments
Checks your free times in Google Calendar, Microsoft 365, Calendly or Cal.com and books the visit during the call, inside the days, hours, visit length and gap you set. Requests to move or cancel reach your staff, or it handles them when you allow it.
Learn more →Answers patient questions
Opening hours, location and parking, the services you offer, the insurance plans you accept and what to bring, all from your website and the documents you add.
Hands clinical calls to your staff
You write the rules: questions about symptoms, test results or medication are transferred to a person or taken as a message for clinical staff.
Reminds patients of appointments
Calls patients before their visit, reminds them of the day, time and place and asks whether they are coming; a patient who cannot make it is put through to your front desk or booked a new time.
Learn more →Speaks 17 languages
Answers each patient in their own language, so a Spanish or Russian speaker books as easily as anyone else.
A summary of every call
Each call is transcribed and summarized in your dashboard, and you can receive the summaries by e-mail. Recording is on by default and can be switched off.
Your privacy settings
Tell callers they are speaking with an AI assistant and that the call is recorded, and set how long conversations, recordings and summaries are kept.
