AI Calls for Event Invitations and RSVPs

Your UIRIX AI agent calls your guest list, invites each person, and records who is coming, who is not and how many people they bring, with dietary or accessibility requests in the notes. It sends the ticket, the agenda or the directions by text message or WhatsApp when a guest asks.

AI RSVP calls are calls an AI agent makes to your guest list to invite people to an event and record their answer. With UIRIX, you run an event campaign over a list from a CSV file or HubSpot: the agent tells each guest what the event is, when and where, asks whether they will come, and confirms the answer before it records it as confirmed, declined or maybe. It can ask how many people they will bring, note dietary or accessibility needs, and send the ticket or registration link, the event details and Google Maps or Waze directions by text message or WhatsApp. The answers appear in the campaign's call list and its Excel export, one column per answer, and every call is recorded, transcribed and summarized, in 17 languages.

What the agent does on an invitation call

  • Opens with who it is and the event it is calling about, in the opening line you approve.
  • Shares the event: what it is, when and where, and why it is worth coming, from your script and the details you give it.
  • Asks whether the guest will come, and asks again to confirm before it records the answer: confirmed, declined or maybe.
  • Asks whether they will bring anyone and records the total number of people. When you want more guests, it invites them to bring a colleague or a friend.
  • Notes special requests, such as dietary needs or accessibility, with the answer.
  • Sends what the guest asks for by text message or WhatsApp: the ticket or registration link, the agenda or event details, and Google Maps or Waze directions to the venue. It can also send an e-mail, after spelling the address back.
  • Books a callback for a guest who needs to check their calendar first, and the campaign calls again later, inside your calling hours.
  • Puts the guest through to a person on your team, live, when they want to talk to someone.

An example call

An example of an invitation you can set up. You write the event details, the goal and what the agent may send.

  • Agent: "Hi, is this Sarah? This is Ava, an AI assistant calling for [your business]. We are hosting a customer evening on Thursday, November 12, at 6 p.m. at our downtown showroom, and we would love to see you there. Will you be able to come?"
  • Sarah: "Yes, I think so."
  • Agent: "Wonderful. Just to confirm, you will attend on November 12?"
  • Sarah: "Yes."
  • Agent: "Will you bring anyone with you?"
  • Sarah: "My husband, so two of us. He is vegetarian."
  • Agent: "Got it: two people, one vegetarian meal. Would you like me to text you the directions?"

What you get after each call

Your guest list fills itself in as the calls go out:

  • Each guest's answer (confirmed, declined or maybe), the number of people and the notes, in the campaign's call list and as columns in its Excel export.
  • The recording (unless you switch recording off), the full transcript and a summary of every call, with its outcome: reached, no answer, busy, voicemail or failed.
  • The agent's own rating of each call, from 1 to 5, and the campaign's progress and cost so far.
  • Signed webhooks to your own systems when a conversation ends, when its summary is ready and when the agent books a meeting or transfers a call. A Zapier step can pass them on to your CRM, a spreadsheet or a team chat.
  • Every contact's result through the Public API, with your own reference for that contact when you gave one.

Compliance and honest limits

  • Event campaigns count as marketing. Record each guest's consent when you import the list, invite people who agreed to hear from you, and in the US remember that AI-voice marketing calls need the prior express written consent of the person you call.
  • The answers stay in UIRIX: it does not update a ticketing or event platform by itself. Send them on from the Excel export, the Public API, the webhooks or a Zapier step.
  • The ticket, agenda and directions links are the ones you give the call profile; the agent does not create tickets.
  • Your own do-not-call list is checked at the moment of every dial, on by default. UIRIX does not check national or state do-not-call registries for you: scrub your lists against the ones that apply, or upload your own block lists in Profile > Privacy so every call is checked against them too.
  • Calls go out only on the days and in the hours you set, in each person's local time where their time zone is known. Time zones are inferred from the phone number and can be wrong, so add a time zone to a contact when you know it.
  • The phone line can announce, before your agent speaks, that the call is with an AI assistant and is recorded, following the rules of the country you call or on every call. It is on by default for accounts opened on or after October 12, 2026, and you can also say it in your opening line.
  • People can opt out during the call by saying so or by pressing 9; their number goes on your do-not-call list at once. Switch each option on in Profile > Privacy. These tools can miss a request, so honor every opt-out you receive.
  • Record each contact's consent when you import the list: its type, date, source and where the proof is. In Profile > Privacy you can have a marketing campaign blocked, or its contacts without a recorded consent skipped.
  • You are responsible for the laws of every place you call: in the US the TCPA, the Telemarketing Sales Rule and state rules (some states end calling at 8 p.m.), in Israel Section 30A of the Communications Law, and the consent each of them requires. AI voices count as artificial voices, and a voicemail your agent leaves is a call.
  • Campaigns do not get through phone menus: a call that reaches an automated menu ends.
  • Campaigns need a paid plan and an agent with its own phone number: a free trial account cannot run them.

How an event campaign works

  1. 1

Set up the agent and its number

Create your UIRIX agent from your website and give it a phone number in the dashboard. Getting a number requires a saved payment card. Numbers come from 27 countries. In the US, Canada, Israel and Puerto Rico a number is ready at once; in 23 more, such as the UK, Germany, France, Australia, Japan, Brazil and Mexico, the telephony provider first reviews your details and documents, usually in 1 to 3 business days. In the US, you can register your business for trusted caller ID in the dashboard, free, in about 10 minutes: your calls are then signed in your business's name, which helps reduce "Spam Likely" labels. The review takes 3 to 7 business days, and the carriers decide the final label.

  2. 2

    Create an event call profile

Choose the event type and a preset such as RSVP, Registration, Reminder or VIP Invite, add the event details, the goals (an RSVP, the guest count, special requests) and the links the agent may send: the ticket or registration page, the agenda, Google Maps and Waze. UIRIX can write the call script for you from these choices.

  3. 3

    Add your guest list

Upload a CSV file or import a HubSpot list, with each guest's consent when you have it. Each row can carry facts about the guest, such as their company or the number of guests already registered, and the agent uses them on the call.

  4. 4

    Set the calling rules

Pick the dates, the days and the calling hours in each guest's local time, the pace, and how many times to try a guest who does not answer, up to 3 attempts.

  5. 5

    Test it, then start

Place a test call to your own phone and listen (a test call is a real, billed call), fix the script, then start the campaign and watch the answers come in.

AI calls for event RSVPs: common questions

Yes. A UIRIX AI agent calls the guests on your list, invites them, confirms their answer before it records it as confirmed, declined or maybe, and records how many people they will bring and any special requests. It speaks 17 languages with 52 voices to choose from.
In the campaign's call list in the UIRIX dashboard, and in its Excel export, where each answer, the number of people and the notes have their own columns. Every call also has its recording, transcript and summary, and your own systems can receive the summaries by signed webhook.
Yes, by text message or WhatsApp when the guest asks: the ticket or registration link, the agenda or event details, and Google Maps or Waze directions. The links are the ones you give the call profile. It can also send an e-mail, after spelling the address back to the guest.
Yes. Connect HubSpot, import a list into an event campaign, and the agent calls its contacts inside your calling hours. UIRIX reads the list from HubSpot; to write the answers back to HubSpot, use the webhooks or a Zapier step.
Under the UIRIX Terms, a campaign whose goal is an event counts as marketing, so record each guest's consent when you import the list. In Profile > Privacy you can have a marketing campaign blocked, or its guests without a recorded consent skipped. This is not legal advice: the consent you need depends on the places you call.
The agent records "maybe" and can book a callback for a day the guest chooses; the campaign then calls again inside your calling hours.
