Your UIRIX AI agent calls each customer before their appointment, reminds them of the day, the time and the place, and asks whether they are coming. When they cannot make it, it can put them through to your front desk, arrange a callback or book a new time in your calendar. Every answer is in the call summary. Or just ask Claude or ChatGPT to call everyone on tomorrow's calendar.

AI appointment reminder calls are calls an AI agent places to your customers before an appointment to remind them of it and find out whether they will come. With UIRIX, your booking system schedules one reminder call per appointment through the Public API, at the time you choose, or you run a reminder campaign over a list in which each row carries that person's appointment, or you ask Claude or ChatGPT to read tomorrow's appointments from your calendar and call them all, with every answer written back on the appointment. The agent reminds the customer of the day, the time and the place, asks whether they will come, and when they cannot, it can put them through to your team, arrange a callback, or book a new time in Google Calendar or Microsoft 365 where the call may book. Each answer is in the call's summary and transcript, in 17 languages. UIRIX has no ready-made appointment campaign type yet: you give the agent the reminder script and the details.
Keep your appointments in Google Calendar or Microsoft 365? Connect that calendar and the UIRIX connector to Claude or ChatGPT, and say: "Call everyone who has an appointment tomorrow and confirm."
An example of a reminder you can set up. Booking the new time needs a calendar connected to the agent and a call that may book; otherwise the agent offers to put the customer through to your team or arranges a callback.
For each customer you know whether they are coming, and what was agreed when they are not:
| Feature | One call per appointment | A reminder campaign | From your calendar in Claude or ChatGPT |
|---|---|---|---|
| How calls are placed | Your booking system or CRM creates each call through the Public API, or you ask for a single reminder in Claude or ChatGPT | You add the day's appointments to a list (a CSV file or a HubSpot list) and start a campaign | You ask the assistant to call tomorrow's appointments; it builds the list and the campaign for you |
| When it calls | At the time you set for each call, such as the day before, or inside the local hours you give | On the days and in the hours you set, in each customer's local time | After your yes, in calling hours set before the appointments |
| The appointment details | In the instructions of each call | In each row of the list: the date, the time and the place | Read from each appointment in your calendar |
| Book a new time in your calendar | Yes, when the call may book and a calendar is connected | With a sales-type call profile and a connected calendar | The time they ask for comes back to you; the assistant changes the appointment only by your rule |
| If nobody answers | Up to 3 attempts on no answer or busy, and a voicemail message when you allow it | Up to 3 attempts, and a short voicemail message | Up to 3 attempts, and a short voicemail message |
| Where the answers go | The call summary and transcript, and your system through webhooks | The campaign's call list and its Excel export | Back on each appointment, or in a report with names |
| Best for | Reminders sent automatically from your own booking system | A day's or a week's appointments in one go | Owners who keep their appointments in Google Calendar or Microsoft 365 |
All three run on the same agent, phone number, do-not-call check and billing.
Create your UIRIX agent from your website, so it can answer questions about your business, and give it a phone number in the dashboard. Getting a number requires a saved payment card. Numbers come from 27 countries. In the US, Canada, Israel and Puerto Rico a number is ready at once; in 23 more, such as the UK, Germany, France, Australia, Japan, Brazil and Mexico, the telephony provider first reviews your details and documents, usually in 1 to 3 business days. In the US, you can register your business for trusted caller ID in the dashboard, free, in about 10 minutes: your calls are then signed in your business's name, which helps reduce "Spam Likely" labels. The review takes 3 to 7 business days, and the carriers decide the final label.
To let the agent book a new time during the call, connect Google Calendar or Microsoft 365 to the agent in the dashboard. Without it, the agent offers your front desk or a callback instead. To have Claude or ChatGPT read your appointments and call them, connect your calendar and the UIRIX connector to that chat.
Write the opening line, what the agent says and asks, what to do when the customer cannot come, the number of your front desk for a live transfer, and the voicemail message with your callback number.
From your booking system, create one call per appointment through the Public API, with the time to call and the details of that appointment. Or put the appointments of a day in a new list, with the date, the time and the place in each row, and start a campaign on the days and hours you set. Or ask Claude or ChatGPT to call tomorrow's appointments from your calendar.
Place a test call to yourself first (a test call is a real, billed call), listen to the reminder, fix what you hear, then send the real ones.
