Phone bookings that land in Microsoft Bookings

Your AI agent answers the call, finds a free time for the service and staff member you picked, and adds the appointment to your Bookings calendar.

Updated

Sign in with the Microsoft 365 work or school account that manages your Bookings calendar, then pick the business, the service and, if you like, one staff member. During a call the agent works out the free times from that staff member's working hours and the appointments already in Bookings, and books the time the caller picks. A caller who asks about an appointment is found by the number they call from, and the agent moves or cancels it when you allow it.

What the agent does with Microsoft Bookings

Free times

Worked out from the staff member's working hours and the appointments already in your Bookings calendar.

Books on the call

The appointment goes into Bookings for the service and staff member you chose, with the caller's name and number.

Finds the caller's booking

When a caller asks about their appointment, the agent looks it up by the number they call from.

Changes and cancellations

By default a request to move or cancel reaches you with the details, and you confirm it. Let the agent decide alone and it moves the meeting in one step, the new time checked first, or cancels it. It only ever changes the caller's own booking.

Set it up in four steps

  1. 1

    Sign in with Microsoft 365

In the agent's Connectors, connect Microsoft Bookings with the account that manages the Bookings calendar.

  2. 2

    Pick the service

Choose the business, the service and the staff member the agent books. In Bookings, the service needs at least one staff member assigned.

  3. 3

    Set your booking rules

When you turn the calendar on, choose the days and hours you take meetings, how long a meeting is, the gap between meetings, where it takes place (your address, a phone call, Zoom, Google Meet or Teams) and which channels may book.

  4. 4

    Test a call

Call your agent, book a time, and open the appointment in Bookings.

Microsoft Bookings questions

A Microsoft 365 work or school account that manages a Bookings calendar. Sign in with that account; UIRIX does not ask your IT admin for consent.
It follows the booking rules you set for the agent in UIRIX: days, hours, meeting length and the gap between meetings. Set them to match your Bookings service, because the agent does not read the minimum lead time or the buffers from Bookings.
Only when the staff member shares their free/busy information with the account that connected Bookings. Appointments in the Bookings calendar itself always count as busy.
Phone calls, the website chat and the voice-in-browser widget. On the website, a visitor who wants to cancel or move a meeting first gets a code by text message or WhatsApp (when the agent can send them; otherwise the request goes to your office), so only the person who booked can change it. You choose which channels may book: website chat is off until you turn it on.
Yes, under your rules. By default the agent takes the request with the meeting details and you confirm it; you can let it cancel and move meetings by itself in the agent's standing orders. Either way it only touches the booking that carries the caller's own number, never someone else's and never one of your own events. A caller who hides their number cannot book: the agent takes the request for you instead.
If the calendar refuses the access (a revoked sign-in or a changed key), the agent stops offering times and takes booking requests for you, and the dashboard shows Reconnect on the agent until you sign in again.
